How to stop managing orders over WhatsApp (without setting up an ERP)

If every one of your clients' orders arrives via WhatsApp, here's the full picture: why it's a real problem, how much it's costing you, and how to get out of that loop without complicating your life.

You have a client who messages you at 8am: "Hi, I'd like to order the same as last month but without the S sizes." You dig through the previous order among 40 conversations, find it, copy it mentally, write the reply, and hope you don't get a reference wrong.

Then there's another one who sends you a photo of a catalog with a circle drawn on it with their finger. And another who calls to dictate the order to you while driving.

Welcome to the day-to-day of any distributor, showroom or sales agent in Spain in 2026. WhatsApp has become the most widely used order management system in the industry. It's also the most chaotic.

The problem isn't WhatsApp. It's the lack of process.

WhatsApp is a messaging tool. It's great at what it was designed for: talking to people. The problem is we've turned it into an ordering system, a catalog, a CRM and an order-history archive all at once.

The result:

  • Orders that get lost among conversations
  • Reference errors nobody catches until the supplier receives the order
  • Hours a day spent copying messages into spreadsheets
  • No visibility into what each client buys or how often
  • No way to know the real volume until you add it all up by hand

This isn't a personal organization problem. It's a tooling problem.

How much is it really costing you?

Let's do a simple calculation. If you have 20 active clients and each order takes 20 minutes to manage (reading the message, looking up references, confirming availability, forwarding it, replying), you're spending more than 6 hours a week just transcribing orders. Not counting corrections or complaints.

That's over 300 hours a year. At whatever hourly rate you put on it, that's real money you're not billing for.

The solution isn't an ERP

When someone says "I need to digitize my orders," the market's first answer is: install an ERP. Salesforce, SAP, Odoo.

That makes sense for a company with 50 people, an IT department and six months to implement it. For a mid-sized distributor, a showroom or a multi-brand agent, it's overkill.

What you need isn't a system that runs your entire company. You need one specific thing: a way for your clients to place orders in an organized way, without you having to intervene at every step.

How a B2B ordering portal works

The idea is simple: each of your clients gets access to a private space with your catalog, their agreed prices and their history. From there they can place an order directly, without calling you, without messaging you, without attaching photos.

You receive the order already organized, review it, and send it to the supplier with a tap. Nothing to rewrite. Nothing to dig through conversations for.

The client gains autonomy. You gain time and control.

What about clients who "aren't into technology"

This is the objection we hear the most. "My clients are older, they won't use an app."

Two things. First: experience shows that when a tool is more convenient than the alternative, people use it. If your client can go to a webpage, see their catalog and order in 3 minutes, they'll prefer that to sending you a WhatsApp voice note and waiting for you to process it.

Second: the portal doesn't replace the relationship. You keep visiting your clients, you're still their contact. But routine orders — repeats, restocks, standard orders — can go through the portal without anyone wasting time.

Where to start

You don't need to do anything big. The first step is having your catalog digital with up-to-date prices. The second is giving access to two or three trusted clients to try the portal. In a week you'll know if it works.

What doesn't make sense is spending another year managing orders over WhatsApp when there's an alternative that takes hours to set up and requires no technical knowledge.
